BetterSongbook privacy policy

BetterSongbook is operated by Colynk in the Netherlands. This policy explains how BetterSongbook handles information when you use the application.

Account deletion

Delete your BetterSongbook account

You can request permanent deletion without installing or signing in to the app. Email us from the address linked to your account, or include that address in your message.

Account deletion

In the app, go to Account → Delete account and follow the confirmation steps. If you cannot access the app, send an email to [email protected] with the subject "BetterSongbook account deletion request". Tell us the email address associated with the account. You do not need to install or sign in to BetterSongbook to make this request.

We may ask for information needed to verify that you control the account. Once verified and completed, account deletion is permanent and cannot be undone.

What we delete

Deleting your account removes:

  • your sign-in, profile, account email address, display name, and authentication record;
  • your personal workspace and all songs, revisions, setlists, items, and other content inside it;
  • your organization memberships, private annotations, reader preferences, and pending synchronization records;
  • submitted beta feedback and diagnostic reports; and
  • account references on invitations, except that an invitation may remain when a shared workspace still needs it.

An empty shared workspace for which you are the only member is also deleted. Offline copies stored by the app remain on each device until its app storage is cleared or the app is uninstalled.

What may be retained and why

  • Content you shared with a workspace remains available while that workspace and its records remain active, so other members do not lose their shared songs, setlists, or history.
  • Pseudonymous creator and last-updater identifiers remain for as long as the related shared records are retained, so their history and required database relationships stay intact. These identifiers no longer link to an account or profile after deletion.
  • We may retain limited records when reasonably necessary for security, fraud prevention, dispute resolution, or compliance with law. We keep them only for the period needed for that purpose or required by law, then delete or anonymize them.

If you are the only owner of a shared workspace that has other members, you must transfer ownership or remove those members before your account can be deleted.

Information we handle

BetterSongbook can work with information stored only on your device and, in backend-enabled builds, information synchronized to our service.

Account and organization information

When you register or sign in, we process your email address, password-based authentication credentials, account identifier, and display name. Passwords are handled by Supabase Auth; BetterSongbook does not receive or store your plain-text password.

We also process organization names, membership status and roles, and invitation information. An invitation includes the invitee's email address and the member who created it. Other members of an organization can see the profile, membership, and shared workspace information that the application makes available to their role.

Songs, setlists, annotations, and preferences

Information you create or import can include song titles, artist names, ChordPro content, musical metadata, revision history, setlist names and dates, setlist and performance notes, annotations, and reader preferences. The app stores this information locally so it can work offline. A backend-enabled build also synchronizes applicable information with Supabase so you can use it across devices and collaborate with organization members.

Annotations marked private and personal reader preferences are restricted to your account. Information marked shared, including organization songs, setlists, and shared annotations or performance state, is available to members of the relevant organization according to their role.

Feedback and diagnostics

If you choose to send beta feedback, we collect the feedback type, your message, an optional contact email address, your account identifier, and a diagnostic report. The report contains timestamps and operation, status, error-type, and error-code metadata. It is designed not to include song content, workspace names, account details, or device identifiers. Diagnostic events remain on your device unless you submit feedback.

Android analytics

The Android app uses Google Analytics for Firebase. It automatically processes an app-instance identifier, the Android advertising identifier, coarse location derived from a masked IP address, and app lifecycle information such as first open, sessions, and screen views. BetterSongbook does not set your BetterSongbook account identifier as the Analytics user ID and does not send song, setlist, or annotation content as Analytics event data.

Google may process device and app metadata needed to provide Firebase services. The exact behavior can also depend on the Firebase and Google Analytics console configuration.

Why we use information

We use information to:

  • create, authenticate, secure, and recover accounts;
  • provide offline songbook, synchronization, collaboration, and organization management features;
  • preserve preferences and annotations across sessions and devices;
  • respond to feedback and troubleshoot failures; and
  • understand Android app adoption and basic usage so we can maintain and improve the application.

We do not sell personal information and do not use song, setlist, annotation, or feedback content for advertising.

Service providers and disclosures

We use Supabase to provide authentication, database synchronization, and backend storage. We use Google Firebase and Google Analytics to measure Android app usage. These providers process information for us under their applicable terms and privacy commitments.

We may disclose information when required by law, to protect users or the service, or as part of a business reorganization subject to appropriate safeguards. Workspace information is also disclosed to other members when you create, import, or mark information as shared within an organization.

Storage, security, and international processing

Local information is stored in the application's private storage on your device. Backend and analytics information is transmitted using encrypted connections. We use access controls, including Supabase row-level security, to limit backend information according to account and organization membership.

Supabase and Google may process information outside your country. Where required, we and our providers use appropriate safeguards for international transfers.

No method of storage or transmission is completely secure. Please protect your device and account credentials and report suspected unauthorized access to us.

Retention

Local information remains on your device until you delete it, clear the app's storage, or uninstall the app. Synchronized account and workspace information is generally retained while the account or relevant organization remains active and for the time needed to provide the service, resolve disputes, protect the service, and meet legal obligations.

Feedback and its submitted diagnostic report are retained only as long as reasonably needed to investigate and improve the application. Google Analytics information is retained according to the retention settings configured for the BetterSongbook Analytics property.

Your choices and rights

You can choose not to submit optional feedback or a contact email address. You can edit or delete supported song, setlist, annotation, and preference data in the app, subject to organization permissions and shared revision history.

You may request access to, correction of, or deletion of your personal information, or object to or restrict certain processing, by emailing [email protected]. Use the subject "BetterSongbook privacy request" and tell us which account email is involved. Account-deletion requests are handled as described in the Account deletion section above.

You may also complain to your local data-protection authority. In the Netherlands, this is the Autoriteit Persoonsgegevens.

Children

BetterSongbook is intended for musicians and music organizations and is not directed to children under 13. Contact us if you believe a child provided personal information without appropriate authorization.

Changes to this policy

We may update this policy when the application, providers, or legal requirements change. We will publish the updated date and provide additional notice when a change materially affects how information is handled.
